Purpose

 This documentation outlines the processes and requirements associated with reporting new hires in the state of Utah

    New Hire Reporting

    Utah requires employers to report new hires to the Department of Workforce Services

    According to the New Hire Reporting Handbook, empoyers must report all newly hired or re-hired employees within 20  days of their first day of work. 

    You'll need the following information for each new hire:

    Employer:

    • Name

    • Federal Employer Identification Number

    • Mailing Address

    Employee:

    • Name

    • Social Security Number

    • Mailing Address

    • Date of Hire or Rehire

    • (Optional) Date of Birth 

    You can report new hires in several ways. The fastest is through the Department of Workforce Services Website. Once there, click File New Hire Report  .

    You can submit up to three individual new hires via telephone by calling (801) 526-9235.

    You can also submit the Utah New Hire Registry Reporting Form, the employee's W-4 form, computer printouts, or other printed information that provides all seven of the mandatory data elements listed above. These can be submitted electronically or via CD as per the New Hires Record Layout specifications.
